Job Summary:

The Online Purchasing Coordinator is a key role responsible for managing and optimizing the company's online procurement processes. This remote position requires a highly organized and detail-oriented individual with strong communication and negotiation skills. The Online Purchasing Coordinator will work closely with the procurement team, suppliers, and other departments to ensure that the company's online purchasing activities are efficient, cost-effective, and aligned with the company's overall objectives.

Key Responsibilities:

  1. Vendor Management:
    • Identify, evaluate, and onboard new vendors that align with the companyโ€™s quality, pricing, and delivery standards.
    • Maintain strong relationships with existing suppliers, ensuring continuous improvement in service and product quality.
    • Negotiate contracts, terms, and pricing with vendors to achieve the best possible deals while maintaining product quality and delivery timelines.
  2. Order Processing:
    • Manage the end-to-end online purchasing process, from order placement to delivery and payment.
    • Ensure all purchase orders are processed promptly and accurately, in compliance with company policies.
    • Track orders and ensure timely delivery of goods, coordinating with vendors and internal teams to resolve any issues that may arise.
    • Verify the accuracy of orders upon receipt and manage discrepancies, returns, or exchanges as necessary.
  3. Inventory Management:
    • Monitor stock levels and forecast future inventory needs based on sales trends and company goals.
    • Collaborate with the inventory management team to prevent stockouts and overstock situations, ensuring optimal inventory levels at all times.
    • Implement and maintain an effective inventory tracking system to ensure accurate records of all incoming and outgoing goods.
  4. Data Analysis and Reporting:
    • Analyze purchasing data to identify trends, cost-saving opportunities, and areas for improvement.
    • Prepare regular reports on purchasing activities, including cost analysis, vendor performance, and inventory status, for review by management.
    • Use data to drive decision-making and develop strategies to enhance the efficiency and effectiveness of the online purchasing process.
  5. Compliance and Risk Management:
    • Ensure all purchasing activities comply with company policies, industry standards, and legal requirements.
    • Manage the risk associated with online purchasing by conducting thorough due diligence on suppliers and monitoring for any potential fraud or supply chain disruptions.
    • Keep abreast of changes in regulations and industry best practices, ensuring the company remains compliant and competitive.
  6. Collaboration and Communication:
    • Work closely with other departments, including finance, sales, marketing, and logistics, to align purchasing activities with the companyโ€™s overall goals and strategies.
    • Serve as the primary point of contact between the company and its suppliers, ensuring clear and effective communication at all times.
    • Provide support to other teams as needed, particularly in resolving issues related to orders, deliveries, or vendor relations.
  7. Technology and Tools:
    • Utilize e-procurement software, online marketplaces, and other digital tools to streamline the purchasing process.
    • Stay updated on the latest technology and tools that can enhance the efficiency and accuracy of online purchasing.
    • Train and support team members in the use of purchasing software and tools.
  8. Continuous Improvement:
    • Identify opportunities for process improvement within the online purchasing function and implement changes to enhance efficiency and reduce costs.
    • Participate in continuous professional development to stay informed of the latest trends and best practices in procurement and supply chain management.
    • Contribute to the development of purchasing strategies that support the companyโ€™s growth and sustainability goals.

Qualifications:

  • Bachelorโ€™s degree in Business Administration, Supply Chain Management, or a related field.
  • Proven experience in purchasing, procurement, or a similar role, preferably in an online or remote environment.
  • Strong negotiation, communication, and interpersonal skills.
  • Proficient in the use of e-procurement software and other digital tools.
  • Excellent organizational skills and attention to detail.
  • Ability to analyze data and make informed decisions.
  • Strong understanding of inventory management principles and practices.
