Position Overview:

We are seeking an experienced and dynamic Online Procurement Operations Manager to lead and manage our procurement activities. The ideal candidate will have a strong background in supply chain management, procurement operations, and e-commerce platforms. As a remote position, the candidate must be self-motivated, organized, and capable of working independently while effectively collaborating with cross-functional teams. This role requires a deep understanding of procurement processes, vendor management, and the ability to drive efficiencies in an online environment.

Key Responsibilities:

1. Procurement Strategy Development:

  • Strategic Planning: Develop and implement comprehensive procurement strategies aligned with the company’s goals and objectives. This includes analyzing market trends, assessing supplier landscapes, and identifying opportunities for cost reduction and efficiency improvements.
  • Policy Formulation: Establish and enforce procurement policies and procedures that ensure compliance with industry regulations and best practices. Continuously review and refine these policies to adapt to changing business needs.

2. Vendor Management:

  • Supplier Relationship Management: Build and maintain strong relationships with suppliers, ensuring that they meet the company’s quality, cost, and delivery standards. Negotiate contracts and terms of service to secure the best possible deals.
  • Performance Evaluation: Regularly assess supplier performance through key metrics such as delivery times, product quality, and cost-effectiveness. Implement corrective actions as necessary to address any issues.
  • Vendor Diversification: Identify and onboard new suppliers to mitigate risks associated with over-reliance on single sources. Ensure a diverse and reliable supplier base to support business continuity.

3. Operational Excellence:

  • Process Optimization: Continuously evaluate and improve procurement processes to enhance efficiency and reduce lead times. Leverage technology and automation tools to streamline workflows and minimize manual intervention.
  • Inventory Management: Collaborate with inventory management teams to ensure that stock levels are optimized, avoiding both overstocking and stockouts. Implement just-in-time (JIT) procurement practices where applicable.
  • Cost Control: Monitor procurement budgets and implement cost-saving initiatives without compromising quality or service levels. Regularly report on cost metrics and savings achieved.

4. E-Commerce Integration:

  • Platform Management: Work closely with the e-commerce team to integrate procurement operations with online platforms. Ensure that the procurement process supports the seamless operation of online sales channels, including timely product availability and accurate product listings.
  • Data Analysis: Utilize data analytics to monitor online sales trends and adjust procurement strategies accordingly. Ensure that the procurement operations are responsive to the dynamic nature of e-commerce.

5. Cross-Functional Collaboration:

  • Team Coordination: Lead a remote team of procurement professionals, ensuring that they are aligned with the company’s objectives and are working efficiently. Provide guidance, training, and support to team members as needed.
  • Stakeholder Engagement: Collaborate with key stakeholders, including finance, marketing, and logistics teams, to ensure that procurement activities are aligned with overall business objectives. Act as a liaison between procurement and other departments to facilitate smooth operations.

6. Risk Management:

  • Risk Assessment: Identify and assess potential risks in the supply chain, including geopolitical issues, natural disasters, and supplier insolvency. Develop and implement risk mitigation strategies to safeguard the company’s operations.
  • Compliance Management: Ensure that all procurement activities comply with relevant laws, regulations, and industry standards. Maintain accurate records of procurement transactions and supplier contracts for audit purposes.

7. Reporting and Analytics:

  • Performance Metrics: Develop and track key performance indicators (KPIs) to measure the effectiveness of procurement operations. Regularly report on these metrics to senior management, providing insights and recommendations for improvement.
  • Market Intelligence: Stay informed about market conditions, including price fluctuations, new product launches, and emerging suppliers. Use this information to make informed procurement decisions and maintain a competitive edge.

Qualifications:

  • Education: Bachelor’s degree in Supply Chain Management, Business Administration, or a related field. A Master’s degree or relevant certifications (e.g., CIPS, CPSM) is a plus.
  • Experience: Minimum of 5-7 years of experience in procurement, supply chain management, or related roles, with at least 3 years in a managerial position. Experience in an online or e-commerce environment is highly desirable.
  • Technical Skills: Proficiency in procurement software, e-commerce platforms, and data analysis tools. Strong understanding of online procurement processes and digital supply chain management.
  • Leadership: Proven ability to lead and manage a remote team, with excellent communication and interpersonal skills. Ability to motivate and develop team members in a virtual environment.
  • Analytical Skills: Strong analytical and problem-solving skills, with the ability to make data-driven decisions. Experience with cost analysis, budgeting, and financial reporting.
  • Adaptability: Ability to thrive in a fast-paced, dynamic environment with changing priorities. Strong organizational skills and attention to detail.
